Before confirming your booking at Wigwam Holidays Builth Wells please take the time to read the information below. It includes vital information regarding cancellation policies and the amenities and services available at the Wigwam Site, which will assist you in planning your holiday.
Payment Policy:
To secure your booking, a 25% deposit is taken upon booking and the final balance is due 14 days prior to your arrival date. The deposit option is only available to those who are booking in advance (more than 28 days prior to arrival).
Should your arrival date be within 28 days, payment is required in full at the time of booking.
Cancellation/No-Show Policy:
If cancelled lose 25% deposit if the balance remains outstanding.
If fully paid;
Up to 4 weeks before arrival receive 75% refund
Up to 3 weeks before arrival receive 50% refund
Up to 2 weeks before arrival receive 25% refund
Less than 2 weeks before arrival, no refund available
The above terms and conditions only apply to bookings that are made online at www.wigwamholidays.com. Bookings made directly with the site owner may be subject to individual and separately agreed terms.
Whole Site Bookings
The site can accommodate up to 24 people. The maximum number of adults per whole site booking is 12.
Whilst we appreciate that a whole campsite booking will represent a gathering of friends and family, we respectfully ask that no stereo sound systems/ amplifiers/ speakers are used during your stay. Music is permitted until 10:00 PM and then must be reduced to background levels only. We live in a valley and the noise resonates affecting our home and our neighbours
Parents are responsible for the safety of their children. Under 18's must be accompanied by a responsible adult if leaving the site
Parents must monitor their children whilst in the hot tubs and using the lake facilities
No graffiti will be tolerated
All damages must be reported
If you have booked the whole site and some members of your party are no longer available to attend, you are still responsible for paying for the whole site in full. In the event of needing to cancel 2 or more pods, depending on the amount of notice given, we may be able to accommodate this. You must release at least 1 pod with a hot tub as part of the cancellation.
All extras must be paid for before departing
Changes to your holiday:
If you need to make changes to your booking a £10 administration charge applies
Travel Insurance:
We strongly advise you to take out the appropriate levels of travel insurance, so you can have peace of mind that your costs will be covered, should you need to cancel your holiday for any reason. We recommend that guests have an appropriate level of travel insurance in place for their needs.
Day Visitors:
Day visitors are only permitted after discussion with the site owners. Should day visitors be present for more than a couple of hours a charge of £10 per person will apply. Should day visitors decide they wish to stay and there is room to accommodate this in your cabin, an additional adult/ child charge will apply and possibly an additional vehicle charge in line with our pricing policy
Electric Vehicles:
It is not permitted to charge any electric vehicle from the electrical supply to the cabins. We have an Electric Vehicle charging point on site.
Smoking:
Smoking is not permitted in the Wigwam Cabins or on any decking attached to the Wigwam Cabin, within 10 feet of any part of the Wigwam Cabin or in any communal areas.
E-cigarettes
It is not permitted to use any form of e-cigarette in the Wigwam Cabins or in any communal area.
Dogs:
Well behaved dogs are welcome but must be kept on a lead at all times. Owners are expected to clean up after their dogs and use the general waste bins provided. Four of our Wigwam Cabins allow dogs (two standard Wigwam Cabins and two Wigwam Cabin with hot tub).
Arrival/Departure Procedures:
Check-in time is from 3pm. If you are due to arrive after 6pm, you may be required to locate your own Wigwam Cabin. Please contact Emma on 01982 560 200 to arrange a later check in, I may need to put lights on for you depending on the time of year. Check out is 10:30 am prompt on the day of departure.
Whilst we do employ cleaners, guests are expected to leave their Wigwam Cabin in a neat and tidy condition, with all clean recycling taken to the recycling point, food waste and general waste placed in the bins provided.
No food must be left in the fridge upon departure.
Please settle any outstanding balance at the main house before leaving, there is a card machine available
If there is nothing to pay, please leave your key in your cabin
Complaints Procedure:
We take all comments from guests seriously. In the unlikely event that you wish to make a complaint, you can contact us by telephone on 01982 560 200 or email builthwells@wigwamholidays.com. Please highlight any concerns immediately so that we may have the opportunity to rectify any concerns as soon as possible.
Code of Conduct:
We expect all our visitors to respect and look after the Site and the Wigwam Cabin you are staying in. We also require you to respect your fellow visitors and keep noise levels to a minimum.
Background music during the day may be permitted if this does not affect any other guests. We operate a no music after 10:00 PM policy. Please do not be offended if we ask you to turn your music down or off
Parents are responsible for their children, as such children must be supervised at all times.
Any guest found to be repeatedly breaking any of our site rules will be asked to leave the site immediately without a refund.
Farm Safety:
Please do not allow children to wander off the Wigwam Cabins Area without an adult and please do not allow children to play on farm machinery, fences, and gates. Please keep to the paths and woodland. Gates should be left as found and the Country Code adhered to. As we will have livestock in the fields we ask that you refrain from walking through the fields.
